What to include in a business laundry quote request
The details that make a business laundry quote accurate, how to estimate volume without weighing anything, and the questions to ask a supplier before you agree to anything.

A commercial laundry cannot give a useful price for “our towels” or “the staff uniforms”. The price depends on what the items are, how many there are, how often they need collecting and how they need to come back. The more of that you can give up front, the faster you get a quote you can actually compare, and the fewer surprises after the first collection.
The basics every quote needs
- Your business type and the address, or at least the locality and PIN code, the laundry is collected from.
- What needs cleaning: bedsheets, pillow covers, towels, robes, uniforms, aprons, table linen or everyday clothes.
- Roughly how much per collection, as pieces or kilograms.
- How often: daily, a few times a week, weekly, or a one-time job.
- When you want to start, and whether there is a busy season.
- Who the supplier should speak to, and the best number to reach them on.
Estimating volume without weighing anything
You do not need a scale. Count pieces for a normal week and say so: “about 60 bath towels and 30 sheets a week” is enough for a supplier to work with. If you only know it roughly, say that too. A fair supplier will confirm the real figure at the first collection rather than hold you to a guess.
Handling details that change the price
- Stains and soiling: oil and grease on workwear, food on aprons, colour and product on salon towels. Each needs a different pre-treatment.
- Items that must stay separate, such as each resident's bag in a PG, or uniforms returned per employee.
- Finish: folded, ironed, or on hangers.
- Any dry-clean-only pieces, such as blazers or wool uniforms.
- Collection access: a loading point, security desk or fixed time window at your building.
None of these needs to be decided before you ask. Mention them anyway: a supplier who knows about heavy staining or per-person sorting before the first collection can price it properly, while one who finds out at the first collection has to change the arrangement after you have agreed to it.
Questions to ask any laundry supplier
- What exactly does the price include, and is it per kilogram, per piece or per month?
- What is the turnaround for my volume, not for a single household bag?
- What happens if an item is damaged or missing, and how do I report it?
- Is there a minimum quantity, a trial collection or a contract term?
- How are my items kept apart from other customers' laundry?
- Who do I call when a collection needs to change?
Get the answers in writing as part of the quote. Comparing two suppliers is only meaningful when both have priced the same items, volume and schedule.
